As we continue to grow and serve our community, we are seeking a skilled and proactive Administrative Assistant to support our CEO and contribute to the smooth and efficient operation of our nonprofit organization.
Job Overview:
We are looking for a competent, detail-oriented, and highly organized Administrative Assistant to manage a wide range of administrative duties while working closely with the CEO. The ideal candidate will be able to handle day-to-day office functions, coordinate services, assist in budget oversight, produce reports, and provide general support. This role requires someone with a strong ability to multi-task, excellent communication skills, and a passion for helping others in a mission-driven environment.
Key Responsibilities:
-Administrative Support: Provide general administrative support to the CEO, including managing calendars, scheduling meetings, and maintaining files.
-Coordination & Scheduling: Coordinate physical therapy services, ensuring that appointments are scheduled efficiently and that therapists are notified in a timely manner.
-Meeting Coordination: Organize and prepare materials for meetings, ensuring that the CEO and relevant staff have the necessary information ahead of time.
-Document Management: Proofread and prepare documents, including reports, presentations, and communications, to ensure accuracy and clarity.
-Budget Oversight: Assist in tracking the organization's budget, ensuring expenses are within limits and accurately recorded.
-Donor Software Proficiency: Maintain donor software, generating accurate reports, lists, and labels as needed for communication and fundraising efforts.
-Inventory & Supplies Management: Order office and therapy-related supplies as needed, maintaining inventory and anticipating future needs.
-Reports & Correspondence: Produce regular reports for internal and external stakeholders and manage communications with donors, partners, and stakeholders.
Qualifications:
-Proven experience as an administrative assistant or in a similar role, preferably in a nonprofit environment.
-Excellent organizational and time-management skills, with the ability to manage multiple tasks simultaneously.
-Strong attention to detail and ability to maintain accuracy in a fast-paced environment.
-Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and donor management software.
-Strong written and verbal communication skills, with the ability to effectively proofread documents and correspondence.
-Ability to maintain confidentiality and handle sensitive information appropriately.
-Knowledge or experience with budgeting and expense tracking is a plus.
-Passion for the mission of the organization and working with individuals in need of physical therapy services.
